1. Scope & Overview

This Privacy Policy describes how the AWS Student Builder Group at USCS ("Organization", "we", "us") handles your personal information when you access our platform, register an account, participate in events, submit projects, or communicate with our community.

2. Information We Collect

We collect only the personal information required to facilitate community membership, manage cloud learning initiatives, verify university affiliation, and operate our student platform:

• Account & Profile Information: Full name, email address (institutional or personal), phone number, date of birth, university/college name, department/club affiliation, experience level, technical skills, and learning interests.
• Authentication Credentials: Firebase Authentication identity tokens, email addresses, and secure authentication state. Passwords are handled exclusively by Firebase Authentication; plaintext passwords are never stored in our application databases.
• Social & Federated Identity: When using Google Sign-In, we receive federated profile metadata including your name, verified email address, and Google account identifier.
• Submissions & Event Data: Event registration records, hackathon entries, project portfolios, resource links, contact form submissions, and external collaboration requests.
• Technical & System Information: Session state, device operating system, browser type, IP address, and security audit logs recorded for administrative oversight.

3. How Information Is Used

Collected data is used strictly for operational and educational purposes:

• To authenticate users and enforce role-based permission safeguards across staff and student dashboards.
• To issue event confirmations, workshop updates, competition schedules, and certificate credentials.
• To evaluate student project submissions and coordinate cloud mentorship opportunities.
• To maintain security audit logs and fulfill university administrative reporting requirements.

4. Data Storage & Security Measures

User profiles and authorization metadata are stored securely using AWS DynamoDB table architecture hosted in the AWS ap-southeast-2 region. Transport Layer Security (TLS 1.3) encrypts all data in transit. Server-side operations strictly enforce authorization headers verified against Firebase Admin tokens.

5. Data Retention & User Rights

Personal information is retained while your student builder account remains active. Users possess rights to inspect, update, or request deletion of their profile data. Historical event registration audit records are preserved for administrative verification in compliance with university guidelines.
